Essential Job Functions

The Firm is seeking a Calendar Court Services (“CCS”) Specialist who will serve as a seasoned member of the team, trusted resource, and subject matter expert working closely with attorneys, staff, and all other firm-wide CCS team members to facilitate the calendaring and docketing of critical deadlines across multiple practice areas.  This position requires up-to-date understanding of the court rules, practices, procedures and filing requirements of federal, state, and local courts in the Firm’s primary jurisdictions. Responsibilities include:

Essential Job Functions:

  • Keeping the Firm calendaring system current, ensuring all deadlines and documents are entered for each case and that the deadlines are calculated correctly.
  • Performing quality control review of the Firm’s case calendaring, docketing, processes, and procedures.
  • Leading daily administrative aspects of CCS including, but not limited to, operational invoice review and processing, team performance/process metrics, day-to-day workflow management from relevant internal/external sources as well as customer service troubleshooting.
  • Maintaining expert-level knowledge of all electronic filing databases utilized in state and federal courts, and other relevant local agencies.
  • Having specialized knowledge on nationwide document retrieval databases and vendor driven research products.
  • Researching litigants, judges, and case information using court-related databases, websites, and relevant calendaring applications (i.e., PACER, Westlaw, BloombergLaw, DocketBird, Pacer Pro, CourtExpress, CourtLink) resources.
  • Assisting with the collection, verification and filing of the Firm’s attorney bar registration information across internal and external databases.
  • Mentoring and training new CCS team members on critical elements of accuracy, efficiency, and integrity of the Firm's calendaring systems and how to use research tools and databases.
  • Managing special projects, high-level ad hoc requests, and tasks for local, regional, or firm-wide initiatives.
  • Reporting high-level calendar/key dates, case information, and analytics for senior management and the CCS team.
  • Possessing a strong service orientation, excellent oral and written communication skills, organizational skills, intellectual curiosity and be pro-active in improving business processes and use Firm resources efficiently.
  • Working a flexible schedule as needed, including possible nights or weekends to meet client and department needs.

Qualifications & Requirements

  • The CCS Specialist will possess 5+ years of prior experience in a CCS/Docket Department of a national law firm.
  • A four-year college degree is required in an area applicable to the duties described above (e.g., legal studies, business, or paralegal studies), but other professional experience or education will be considered.
  • Advanced proficiency with the CompuLaw system preferred.
