Essential Job Functions

We are looking for an Attorney Engagement Assistant to help support a high-growth team in Kirkland’s dynamic New York office, providing dedicated local support to connect attorneys to the right resource at the right time, with an emphasis on coaching.

This role supports administrative tasks, reporting & metrics, multiple databases/platforms, events and logistics, and ad hoc requests. The ideal candidate will bring a unique blend of superior organizational skills, have the utmost attention to detail, have a “can do” positive attitude, and will work collaboratively with various internal and external stakeholders.

Essential Functions 

  • Assist with New Associate Orientation logistics, including conference room reservations, catering and Conference Tech requests. Update NAO materials, as requested.
  • Track attorney mentoring program updates and assist with mentor assignment process
  • Support all New York Practice Group events and logistics, including Office Hours, Homerooms, and Mentoring Circles
  • Work alongside the Legal Recruiting team during the Kirkland Summer Program
  • Shadow senior members on the team with respect to Practice Group and Professional Network support
  • Process expenses reports and check requests
  • Ensure established guidelines and best practices are followed and identifies efficiencies
  • Miscellaneous administrative duties such as filing, creating labels, nametags, scanning and copying
  • Managing calendars for Attorney Engagement

Qualifications & Requirements

Education, Work Experience, Skills

This position requires both event planning experience and experience managing and maintaining complex data.  This role also demands a high level of collaboration, a strong ability to prioritize competing demands, and the ability to work independently.  The ideal candidate will be highly organized, possess excellent proofing and communication (oral and written) skills; the ability to multitask in a fast-paced environment; a very strong attention to detail; a professional demeanor and the flexibility to adjust to changing priorities and demands.

Additionally, the ideal candidate will possess strong interpersonal skills with the ability to build relationships across departments and offices to achieve results.   Candidate will need to be flexible and may need to work at off-site event locations, travel for events, and work overtime as needed.

A Bachelor’s degree is required in addition to 1+ years of relevant experience.  Law firm experience is a plus. 

Technologies/Software

Technical experience should include MS Word, Power Point, and proficiency in Excel.  Candidate should have familiarity with LinkedIn.  Knowledge of PeopleSoft, website maintenance/content administration, database maintenance, or experience with SharePoint is a plus.
