Essential Job Functions

Kirkland & Ellis is seeking a coordinator to support the marketing and business development efforts of the Bay Area offices.

In this role, you will help provide attorneys with support across all areas of marketing and business development, including event planning, pitches and proposals, contact relationship management, branding, business/relationship intelligence and internal communications. Specific responsibilities include assisting with events, new business pitch preparation, marketing collateral development and maintenance, experience database data entry/management, general research and award submissions and directory nominations. You will also be responsible for administrative tasks associated with the business development function such as processing check requests and related administrative tasks.

You will report to the Bay Area Business Development (BD) Associate Director and will work closely with the two additional staff members in the office. You will also communicate and collaborate daily with approximately 140 diverse problem-solvers and advisers dedicated to the broader business development, marketing and communications efforts of the Firm. Our business development team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness. We are looking for a self-starter with good judgement, and a background in professional services marketing and business development is strongly preferred.

This is a hybrid role.

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Assist with event planning and execution for client-facing events, industry conferences and charitable sponsorships, speaking engagements and other event activities related to the promotion of the Bay Area practices.  
  • Help produce client-facing pitch materials, responses to RFPs and presentations, including proofreading, formatting (must have exceptional PowerPoint skills), editing, printing, binding and delivery.
  • Maintain marketing collateral including practice descriptions, brochures, PowerPoint templates, case summaries, accolade summaries and attorney biographies.
  • Assist with general online and database research.
  • Assist with survey responses and award submissions.
  • Monitor data in the Firm’s marketing contact relationship management (CRM) database, including the review and creation of mailing lists used for direct mail campaigns.

  • Provide administrative assistance, as needed, to the Bay Area BD team.
  • Any other functions/duties as assigned by management

Qualifications & Requirements

Education, Work Experience, Skills:

  • Strong organization and communication skills with the ability to interact professionally with high-level attorneys, staff, clients and guests of the Firm are essential.
  • Ability to work independently to make intelligent, informed decisions. Kirkland demands quality work from every employee (often in high-pressure and deadline-driven scenarios).  You will be required to multitask and prioritize effectively. A history of taking initiative is essential to success in this position.
  • Solid project management skills, business acumen and an ability to understand marketplace trends.
  • Ability to handle ambiguity, influence others and find ways to move initiatives forward to meet critical deadlines and produce results.
  • Meticulous writing and proofing skills and an aptitude for learning new software are required.
  • A Bachelor’s degree is required, and an ideal candidate will have at least two years’ experience in the law firm/professional services environment.

Technologies/Software:

  • Microsoft Office Suite, including SharePoint. PowerPoint and Excel experts are highly desired.
  • CRM/Database Software (e.g., InterAction, Salesforce, ContentPilot, etc.)
  • Working knowledge of Chrome River, Adobe Photoshop and other programs is a plus.

Work Environment:

This position operates in a corporate office environment. A professional appearance and demeanor is required. Evening and weekend work may be required.
