Essential Job Functions

The Executive Assistant will assist the Firm’s Chief Administrative Officer (CAO). The right candidate needs to be an organized self-starter with exceptional business acumen and strong analytical, organizational, and communications skills.

The right candidate will need to possess the ability to multi-task and hit time sensitive deadlines. Strong analytical and critical thinking skills are required. This role will perform advanced, diversified and confidential duties that may be administrative in nature or project based. The scope will be broad and range from scheduling meetings to leading projects for the CAO’s office. Ability to coordinate events such as committee meetings, team meetings, officer meetings, as well as arranging on-site and off-site events ranging from small dinners to large scale events is required. 

Essential Job Functions:

  • Primary function is to support the office of the CAO and provide dedicated support for any and all needs of the CAO office.
  • Acts as first point of contact for CAO and stakeholders.
  • Heavy calendar management with independent decision making and planning based on priorities, which requires forward-thinking and strategizing.
  • Maintains and prioritizes daily action items for personal follow up and management.
  • Determines when to act on behalf of the CAO and when to refer problems for personal attention.
  • Handles highly confidential and critical information, including data related to firm management, human resources, budget, forecasts, etc.
  • Takes initiative to prepare responses and assemble background information from available sources. Follows up to ensure that proper and timely action is taken.
  • Collects and prepares information for use in discussions/meetings of senior staff and outside individuals, which may involve preparing high-quality, executive level PowerPoint presentations, Word documents and/or Excel spreadsheets.
  • Assists in maintaining appointment schedules and coordinates meetings including conference calls.
  • Proactively monitors and manages email inboxes, as requested.
  • Arranges travel and hotel reservations, as requested. Assembles information and prepares materials including itineraries. Accurately prepares expense statements.
  • Manages and organizes events, both Firm related and personal (planning, logistics, attendee confirmations, etc.), as requested.

Qualifications & Requirements

  • Specialized C-Level Executive Assistant knowledge and experience
  • Strong professionalism, confidentiality, time management, communication, customer service, teamwork and organization skills
  • Ability to determine priority and urgency of specific tasks, actions and requests
  • Flexible and able to perform in a fast-paced, changing environment
  • Strong knowledge of Microsoft Office, especially Excel and PowerPoint
  • Strategic agility and decision-making abilities: problem solver
  • Excellent communication skills and ability to handle situations in a professional manner is essential
  • Three years of C-Level Executive Assistant experience
  • Bachelor Degree is preferred
