Essential Job Functions

The Benefits and HR Operations Assistant will provide comprehensive administrative support to the Director of Benefits and HR Operations and, occasionally, to other members of the management team. Responsibilities include coordinating meetings and travel arrangements, interfacing with Firm personnel at all levels of the organization, and handling expense reimbursements. This role will also include responsibility for drafting presentations and communications for participants and leadership, as well as support of high-profile department projects and initiatives. The Benefits and HR Operations Assistant will develop working knowledge of the Firm’s benefit plans and programs, as well as a variety of internal and external resources, in order to support the delivery of superior participant service. This role requires excellent teamwork, high personal performance standards, a proactive work ethic, flexibility, and attention to detail. This is a hybrid role, and in-person attendance at certain meetings and events is required.

Essential Functions:

  • Meeting and event scheduling and calendar management
  • Preparation of monthly, quarterly and annual budget information
  • Processing expense reimbursements
  • Attending key meetings and capturing comprehensive notes/actions items
  • Creating agendas, itineraries, and other support materials
  • Anticipating needs to ensure projects and deadlines are met
  • Developing basic knowledge of the Firm’s benefits and wellbeing programs in order to provide exceptional, prompt service to attorneys and staff
  • Maintaining strong and productive interpersonal relationships both within and outside of the department
  • Tracking and reporting on the status of workload and producing high quality, accurate work in a timely manner
  • Demonstrating creative problem-solving skills and knowing when to escalate issues
  • Maintaining strict confidentiality of sensitive and confidential data

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree or equivalent experience


  • Excellent verbal and written communication skills

  • Keen judgment and problem-solving skills 
  • Responsive and dependable



  • Proficiency in Outlook, PowerPoint, Adobe, and Word


  • Experience with PeopleSoft

Work Environment

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.  This role requires work within close proximity to others, so the ability to work successfully in an active environment with the presence of distractions is imperative.
