Essential Job Functions

The Chicago office is seeking an Administrative Coordinator who will provide administrative support for various members of the Finance management team located in Chicago. Acting on his/her own initiative and direction, this individual will handle a wide range of administrative and executive support related tasks and interact with personnel at all levels in a fast paced environment. The candidate should also be comfortable collaborating with the other finance executive/administrative assistants to ensure coverage is provided to senior finance department personnel, including the CFO. 

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Develop and maintain presentation and meeting materials.
  • Provide administrative support for various projects and initiatives across a variety of Finance functions.
  • Facilitate communication ensuring information flow to and from the department, and assist in determining items requiring priority attention.
  • Create reports in excel as required for the management team members this role supports.
  • Compose, type and proofread correspondence, memos, and emails.
  • Support of Data Management System administration.
  • Prepare expense reports and check requests; submit invoices for payment into Chrome River.
  • Maintain calendars, schedule meetings and arrange necessary logistics while effectively communicating changes.
  • Coordinate domestic and international travel arrangements in accordance with the Firm’s Travel Policy.
  • Analyze and troubleshoot minor departmental issues using independent and sound judgment, and escalating as necessary.
  • Assist with on-going special projects; work associated with special projects will vary and will be assigned as the individual demonstrates skills to handle additional responsibilities

Qualifications & Requirements

  • A minimum of 2 years of experience in a law firm, finance/accounting department, or professional services firm is preferred; work experience supporting a senior level executive in a professional services organization is desired.
  • A Bachelor of Arts/Science (BA/BS) or equivalent experience is desired.   
  • The ability to anticipate the executive’s needs and exercise sound judgement, tact, diplomacy, integrity, and professionalism in all interactions is essential.
  • Candidates should be self-motivated, require minimal supervision, and will be required to maintain confidentiality.
  • A strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required; the ability to adapt easily to new software and other web-based tools is critical.
  • The individual should be flexible in order to handle time sensitive requests, including periodic needs outside of standard working hours.
  • A desire to learn new skills and to expand their skills over time is necessary.

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
