Essential Job Functions

Kirkland & Ellis LLP is seeking an energetic and motivated individual for the role of Business Intake Analyst in the New Business Department. This is an exciting opportunity to assist a dynamic department in researching and processing requests involving the establishment of new clients and new matters. The primary responsibility is to monitor the Business Intake e-mail box, department phone, and business intake system requests. The Business Intake Analyst will review new business intake forms to ensure compliance with Firm policies and business standards. The Analyst will also work closely with attorneys and members of the New Business & Conflicts Department around the globe to ensure all requests are created, managed and completed in a timely manner. This position offers the opportunity to assist in establishing and performing maintenance on confidential and ethical walls, as well as coordinating notifications and acknowledgements. Attention to detail is a critical competency as the Analyst role is vital in identifying potential risk and communicating effectively to ensure all requests are completed expeditiously while adhering to the Firm’s business requirements. The Business Intake Analyst will be flexible, reliable and ambitious to meet the business requirements of the Firm, while maintaining a positive, helpful demeanor to the customer.  Familiarity with on-line database research, document management systems and other business applications (i.e. Microsoft Office) required.  The ideal candidate will exhibit excellent oral and written communications skills, possess a public service orientation, demonstrate above average business acumen, have the ability to analyze complex and conflicting information and multi-task in a time sensitive environment.  It is essential that the Business Intake Analyst will identify and analyze problems and provide creative solutions, as well as maintain an acute attention to detail while applying good judgment under time constraints. Conflicts searching experience is preferred, but not required.

  • Review, evaluate and act on all requests submitted to the department by e-mail.  This includes creation of new requests on behalf of attorneys and support staff.
  • Public Face of Business Intake and Conflicts.  Research internal and external databases for New Clients, New Matters, Conflict Searches, Re-Open, and Close prior to assignment for conflicts search.
  • Handle requests, either by e-mail or phone, for revisions to existing matters (including verification and any research needed) and take appropriate steps to ensure Firm policy is followed before hand-off to the appropriate department.
  • Establish and perform maintenance on confidential and ethical walls. Coordinate notifications and acknowledgements.
  • Coordinates the monitoring and updating of materials as needed on the Department’s internal and external facing SharePoint spaces, including Excel lists and subsequent supportive documents.
  • Assist with processing new client and new matter forms and amending requests for clarity and completeness (e.g. identifying additional parties when needed).
  • Monitor and follow up on requests waiting for additional information status on daily/weekly basis. 
  • Review, analyze, and forward to the appropriate department Business Intake documentation (waiver, engagement letters, complaints, etc.) and attach to request.
  • Work with Finance, Risk Management Compliance, Information Governance, Records and other Administrative staff to ensure all Firm policies and procedures are followed.
  • Training liaison -- attend Training/Orientation sessions for new employees.
  • Search and analyze using the LegalKEY Conflicts, Records, Ethical Wall and Critical Dates databases.

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree required.
  • Two to three years of related experience processing business intake and supporting a functional area’s initiatives, including compliance and regulatory monitoring is preferred.
