Essential Job Functions

The Administrative Assistant position requires a professional, highly motivated, organized individual with technical proficiency (both in production and troubleshooting) in Microsoft Office with heavy emphasis on Power Point and Visio, with the overall purpose of providing the highest quality client service to both internal and external clients.  As an Administrative Assistant, you will provide client-focused, service-oriented support for a corporate legal team, including back-up secretarial support. The Administrative Assistant positively contributes to a team environment, and maintains successful working relationships with both internal and external clients and staff.  The responsibilities of the Administrative Assistant will include these and other essential functions:

  • Create and revise presentations, organizational charts, flowcharts, timelines and brochures using PowerPoint and/or Visio software.
  • Using Word, create/revise inserts and graphics for use in presentations relating to the updating of Merger & Acquisitions and Venture Capital books as well as other publications.
  • Demonstrate strong project management skills, and exemplary detail accuracy and prioritization skills to meet deadlines, at times under pressure.
  • Provide back-up secretarial support functions including, but not limited to, answering telephones, calendaring, monitoring and responding to e-mail, and general secretarial duties as assigned.
  • Provides exceptional customer service to internal and external clients, fosters a sense of team, and approaches all encounters with clients and colleagues in a gracious, attentive, courteous and service-oriented manner.
  • Resourceful, self-starter able to work proactively and independently in a fast paced environment. 
  • Adaptable, motivated to learn, and able to meet and maintain required performance standards. 
  • Embrace new technology and ways of working that promote flexibility to adjust quickly to shifting business needs. 
  • Must be effective at listening to, understanding, and clarifying concerns raised by clients and staff and have the ability to offer diplomatic, results-driven, creative solutions.
  • Demonstrates a highly professional attitude and personal presentation in all verbal and written communications (in person and on the telephone).

Qualifications & Requirements

As an Administrative Assistant, you will be expected to apply your organizational and communication skills while demonstrating a positive, high-energy attitude. The successful Administrative Assistant must have well developed and professional interpersonal skills; ability to interact and communicate effectively with clients and staff at all organizational levels of the firm and manage expectations; ability to take initiative and work both independently and in a team environment with a customer service focus; ability to handle confidential and sensitive information with appropriate discretion; ability to manage time, prioritize effectively, and handle multiple deadlines; ability to create accurate work product with impeccable attention to detail; knowledge and understanding of typical work processes performed daily in an office environment; with appropriate training, effectively navigate Chrome River, Outlook, Avaya Phone, Carpe Diem, Interwoven, and other technology as assigned.  Proficient in MS Office with advanced skill level in MS PowerPoint and Visio and the ability to troubleshoot and overcome obstacles.

The ability to work the core business hours of 9:00 am - 5:00 pm with flexibility for overtime as required.  Must have a minimum 5+ years legal word processing experience, preferably in a large law firm.  A typing speed of 55+ wpm is also required.  Associate degree preferred.
