Essential Job Functions

The Human Resources Coordinator, under the leadership of the Senior Human Resources Specialist and Associate Director of Human Resources will work with department team members, other departments and the other Kirkland offices to assist in the coordination of Kirkland & Ellis LLP general human resources activities in the Washington, DC office.  Primary duties will include administering the Firm’s comprehensive benefits package for attorneys and staff for the Washington office. The Human Resources Coordinator will assist in coordinating the Firm's annual open enrollment process; ensure departmental compliance with relevant regulatory requirements including, but not limited to, HIPAA, ERISA and COBRA; administer leaves of absence; conduct new hire orientation; coordinate various wellness activities, including managing the ergonomic process for the Washington office. The Human Resources Coordinator will have strong vendor management skills and will facilitate resolution of high-level, complex attorney and staff inquiries related to the Firm's health and welfare benefits plans. Additionally, the Human Resources Coordinator will maintain a working knowledge of health and welfare benefits to help assure compliance with applicable employment laws.   This position requires solid human resources experience, advance benefits expertise, technical proficiency in various human resources applications and absolute commitment to client service.

ESSENTIAL FUNCTIONS

Customer Service

  • Provide customer support to partners, associates and employees on general human resources, benefit and payroll questions and issues. Track open issues through to satisfactory resolution, keeping Associate Director and Senior HR Specialist informed of issues and progress.
  • Investigate discrepancies, propose solutions, and manage resolution efforts with various departments at the Firm including, Payroll, Benefits, Timekeeping and HR Operations.
  • Conduct benefit orientation of new hires and prepare benefit materials as appropriate.
  • Coordinate and facilitate exit checkouts with departing attorneys and staff as it relates to benefit eligibility.

Health & Welfare Plan Administration

  • Coordinate processing medical, dental, vision, life, LTD and other health & welfare benefit enrollments for new hires and life event changes.
  • Coordinate Annual Open Enrollment tasks for the Washington office, following up on outstanding enrollments and/or missing documentation.
  • Assist with leave of absence processing, including disability, FMLA and Workers Compensation.  Monitor/track usage, paperwork requirements and other information to ensure compliance.
  • Administer pre-tax benefits, including Flexible Spending Accounts, Dependent Care Assistant, Transit and Parking.  Assist with claims issues as necessary.
  • Administer eligibility reporting to local carriers and reconciliation of discrepancies. Verify invoice payments and reconcile discrepancies.
  • Work with plan carriers and administrators on status updates, issue resolution and information sharing.
  • Assist with Special Projects including implementation of new plan offerings and audits as required.
  • Create reports and census files as necessary using the Firm’s HRIS system.
  • Coordinate with employees and vendor to schedule monthly Ergonomic Assessments.  Order equipment as needed, and follow-up with employees after installation of equipment to make sure needs have been met.  Arrange for adjustments as necessary.  Follow up periodically to make sure adjustments are beneficial making recommendations for additional adjustments if applicable.
  • Perform diverse duties in the administration of employee benefits functions and coordinate work with other departments, including the firmwide HR and Benefits teams, and more specifically on a local level, Legal Recruiting.

Compliance

  • Respond to questions regarding HR policies and procedures.  Be knowledgeable of Firm policies and federal and state regulations on health & welfare benefits. Share information with department team members, Firmwide HR staff and other departments as appropriate.
  • Maintain the file on communication documents so they are current and compliant with applicable employment laws. Assist with proper communication maintenance in the Firm’s intranet site, posting appropriate documents and other items.  Examples include regular review of the firm policy manual, specifically, what is distributed to new hires on their first day, up to date as well as required government forms (withholding, I-9, etc.). 

Department Administrative Responsibilities

  • Serve as backup for the purpose of coordinating/preparing items for payroll.
  • Coordinate Annual Wellness and Financial Fair Activities, in conjunction with annual open enrollment process, including serving as liaison with vendors, assisting with budget projections for event and assisting with day of event activities.

     

  • Organize Annual Flu Shot Clinic and On-site Wellness Clinic communicating consistently with all interested parties including outside vendors.

     

  • Handle day-to-day department administrative tasks. Complete additional assignments as back up when another staff member is away.

     

  • Other duties as assigned.

Qualifications & Requirements

Education, Work Experience, Skills

  • College degree and/or 4-5 years of human resources experience, particularly in the areas orientation of new employees, recordkeeping, maintaining attendance data and other HR-related applications.
  • 4+ years of benefit plan administration experience including the communication of plan offerings and special information to professional and support staff.
  • Strong customer service-focus with excellent interpersonal skills.
  • Proven track record of maintaining confidentiality.
  • Attention to detail is essential.
  • The ability to take initiative, prioritize, complete work with minimal supervision, and meet deadlines. Must be able to multi-task and effectively adapt to changing expectations and situations.< >Microsoft Outlook, Word, PowerPoint, Excel, Citrix, Avaya, PeopleSoft desired.
